When we sleep, we have sleeping patterns, and what time we eat is also a pattern, so in order to be productive and find good motivation you need to implement a productivity pattern into your life as well. When working or trying to get a task done, there is a pattern you can easily follow called the Ultradian Rhythm. This study shows that humans can focus on a task for about 90 minutes at a time before needing a 20-to-30-minute break. Knowing this piece of information about our own biology is important because that’s how we should be planning tasks out. Figure out what you can do within the 90 minutes, get it done, and then reward yourself during the 20-minute break. Knowing that the task at hand will only take a certain amount of time increases motivation because you know it’s not going to last forever; especially if it’s a task that you don’t like.
There is also another process that is only two steps that helps with staying on track while doing a task. A scientist named Justin Gardner did research on a 2-step process on when humans are doing work. The first step of this 2-step process is to avoid multitasking. Avoiding multitasking ensures that you get the tasks done with focus and this will increase your productivity because focusing on one thing at a time ensures that it will get done. The second step in Gardner’s process is to stay away from distractions while working. Removing distractions like notifications, social media, and text messages will help you to be more efficient while working. Being able to focus and working more efficiently will increase your productivity really quickly once you get the hang of it.
If these suggestions don’t work for you there are other options that are a little easier as well. Just like the Ultradian Rhythm there is a technique called the Pomodoro technique. This technique is a time management strategy close to the ultradian rhythm but more split up. In order to implement the Pomodoro Technique into your life you set a timer for 25 minutes and take short 5-minute breaks in between. Then every 100 minutes take a longer 20-minute break. This technique uses the ultradian rhythm but breaks it up into smaller chunks. Working for 25 minutes straight is easier than working for 100 minutes straight. This strategy helps you to discover how long it takes to complete a task and to help yourself set more realistic goals.
These techniques and strategies are all very helpful and can be adjusted based on your own preferences. Make the work time longer or shorter based off of your timeline and have other tasks in mind when taking small breaks to prepare yourself for what’s next. Taking mini breaks from your tasks and work helps you feel more focused when you come back to work and finish the task.
